Why Don't I See Fields to Enter a Percent or Dollar Amount When Invoicing Fixed Fee Phases?

If you are invoicing and don’t see fields to enter a percent or dollar amount to bill, but instead see an option to bill the full amount, your phases may not have remaining budget or may be set up as “Milestone Complete” instead of “Percent Complete.”

Fixed fee phases can be set up as either “Percent Complete” or “Milestone.”

If you are invoicing and don’t see fields to enter a percent or dollar amount to bill, but instead see an option to bill the full amount, your phases are set up as “Milestone” instead of “Percent Complete.”

Another possible cause of this issue is that there is no budget set for the project, or there is no remaining budget in the phase. Fixed fee phases cannot be billed beyond their total allocated amount.

 

How to Change the Billing Method:

If you want to switch a fixed fee phase from “Milestone” to “Percent Complete”:

  1. Navigate to the Budget tab of the project.
  2. Click the pencil icon for the phase you want to modify.
  3. Next to the Billing Type field where “Fixed Fee” is displayed, select the way you’d like to bill your fixed fee phase.
  4. Choose “Percent Complete” if you want to enter a percentage or dollar amount when invoicing.
  5. Save your changes.

 

Important Considerations:

  • Once a phase has been invoiced using a specific billing method, it cannot be changed.
  • If a phase has already been billed as a Milestone, you may need to create a new phase for Percent Complete billing.
  • Ensure the project has a budget set and that there is remaining budget available in the phase.
  • Confirm billing setup before invoicing to ensure the correct fields appear.
